State Chapter Administrative Survey

The Membership Team recently conducted a survey of the state chapters regarding their structure and administrative responsibilities. The survey is intended to provide a brief overview of state chapters. Sixteen out of 38 chapters responded.

The survey showed that out of the 16 state chapters, meetings are scheduled annually in six states, bi-annually in 10 states and three times a year in 2 states. Ten chapters have a 2-year term for presidency, while six chapters have a 1-year term. The Board of Directors are elected to a 2-year term in seven states, 3-year term in four states and five of the 16 chapters did not respond.

Eleven state chapters work in collaboration with their state organization. Thirteen state chapters have additional staff (executive directors, administrative assistants or secretaries) that assists with the needs of a chapter. Nine of the administrative staff work part-time, two work full-time and 2 chapters did not respond. Six of them are salaried employees and seven chapters did not respond as to whether their administrative staff were volunteers or salaried employees. Their responsibilities include, but are not limited to:

  • Answering membership inquiries
  • Maintain membership lists
  • Coordinate annual conference
  • Creating and distributing newsletter
  • Handling finances (dues collection)
  • Working with vendors for funding efforts

Membership categories and dues vary per state. All sixteen chapters have a regular membership category. Eleven also have an associate/affiliate category and five chapters have an honorary category. Nine of the state chapters keep track of their members through a database, otherwise they tend to use spreadsheets or lists. With regards to communication tools, eleven of the state chapters surveyed publish a newsletter. Eight distribute their newsletter quarterly, while the other chapters may vary in frequency--monthly, bi-annual or as needed. Currently, six chapters have web sites: California, Florida, Massachusetts, Missouri, Ohio and Wisconsin.
